Request for Proposal (RFP) - Photographer for Truckee North Tahoe Tech Teens

Introduction
The Truckee Chamber of Commerce, along with partner agencies Town of Truckee, Truckee Tahoe Airport, Truckee Donner PUD, Tahoe Forest Health System, Tahoe Truckee Unified School District, CHP-Truckee and North Tahoe Fire, are seeking a professional photographer to capture the essence of the Truckee North Tahoe Tech Teens Program through high-quality photographs. This initiative exposes Truckee / North Tahoe high school students to various technology sectors, highlighting their practical applications in different career fields. The goal is to inspire and prepare students for diverse opportunities in our region. The selected photographer will play a key role in documenting these moments for use in marketing, promotional materials, and public outreach.

Scope of Work

The selected photographer will:

  1. Attend All Program Sessions: Be present for at least one hour per session to capture the essence of the program. The program runs on Thursdays from 3:00 – 5:00 p.m. from March 27 – May 15 (no program during TTUSD’s spring break on Thursday, April 17).
  2. Photograph Candid and Posed Shots: Include a mix of candid interactions, activities, and posed group or individual photos.
  3. Provide High-Quality Images: Deliver professionally edited digital photographs for use in promotional materials.
  4. Collaborate with Organizers: Coordinate with program facilitators to ensure important moments and individuals are documented.
  5. Grant Usage Rights: Allow all participating agencies full rights to use the images for marketing and promotional purposes, with appropriate photo credits given.

Timeline

The program schedule includes six (6) sessions each Thursday, March 27 to May 15, 2025, with no program on Thursday, April 17. Sessions run from 3:00 pm – 5:00 pm at the various partner locations. All sessions are in Truckee except Thursday, May 10, in Kings Beach. The photographer will be required to attend all sessions within this period for at least one hour. A detailed program schedule will be provided upon selection.

Deliverables

  • High-resolution, edited photos from each session.
  • A mix of candid and posed shots ensuring a diverse representation of participants and activities.
  • Digital file delivery within 4 days after each session.
  • Grant of rights for usage with full photographer credit.

Budget

  • Please provide a detailed quote for your services, including hourly rates and any additional fees for editing or travel.

Proposal Requirements

Interested photographers should submit the following via email:

  1. Portfolio: Examples of relevant work showcasing your ability to capture candid and posed moments.
  2. Experience: A brief overview of your experience, especially with youth programs or community events.
  3. Availability: Confirmation of your ability to attend all sessions during the program timeline.
  4. Quote: Detailed pricing for your services, including any additional costs.

Selection Criteria

The selected photographer will be evaluated based on:

  • Quality and relevance of portfolio.
  • Experience working with youth or community-focused programs.
  • Availability and flexibility.
  • Cost-effectiveness of the proposal.
  • Positive references.
  • Photographers must reside in the Truckee/North Tahoe Region
